An exciting opportunity has arisen to work for a leading ‘Specialist car Dealer’ based near Chelmsford. Joining a busy and friendly environment. Hours: 37.5hrs per week (Monday to Friday, 9am to 5.30pm)
A typical day:
Manage Director’s electronic diary, assessing priority of appointments and reallocation as necessary;
Work closely with the Directors to process correspondence, ensuring that incoming correspondence is dealt with by the Director or on behalf of the Director;
Maintain Directors office systems, including data management and filing;
Liaise on behalf of the Directors with other members of staff regarding meetings, correspondence and projects;
Screen calls, enquiries and requests, and deal with them when appropriate;
Assist Directors in researching and following up with action on matters which fall withing the Directors responsibility - chasing responses, triggering follow-up actions;
Produce documents, meeting papers, reports and presentations for the Director;
Meet and Greet visitors at all levels of seniority;
Supervise all incoming/outgoing mail;
Any other duties as may reasonably be required by the Directors.
A minimum of 2 years PA/Executive Assistant experience necessary;
Knowledge of office management systems and procedures;
Experience in diary management;
MS Office and English proficiency;
Outstanding organisational and time management skills;
Ability to multitask and prioritise daily workload;
Excellent verbal and written communication skills;
Discretion and confidentiality
